Dear GeoCivix Administrators,

We are pleased to announce several GeoCivix system enhancements scheduled for Friday, November 6, 2026. This release introduces a new Allow Partial Payments workflow setting, improved messaging for expired upload links, and report titles in Data Export emails.

Additionally, this release includes fixes and improvements related to workflow and permit expiration fees, inspector assignments for re-inspections, review decision confirmations, verified address entry, and inspection report formatting.

Update Summary

Date: Friday, November 6, 2026

What You Need to Do: Nothing

Risk Level: Low

Key Enhancements

Allow Partial Payment Setting

Each workflow now includes a new Allow Partial Payments setting. When set to No, applicants making online payments must pay all outstanding fees together. All fees in the payment window will be automatically selected and cannot be unchecked.

  • The setting is located in the Fees section of each workflow, directly below Offline Payment Instructions.
  • Yes (Default): Applicants can continue choosing which outstanding fees they wish to pay.
  • No: Applicants must pay all outstanding fees together, and the payment window will display a message explaining this requirement.
  • Staff Payments: Staff recording payments can still select which individual fees to include, regardless of this setting.

The new Allow Partial Payments setting, found in the Fees section of each workflow.

The payment window on a workflow set to NO: every fee is now checked and locked, and the message says the fees must be paid together.

Upload Link Not Valid Page

Applicants who open an upload link that is no longer valid will now see a helpful informational page instead of an error message.

  • The page explains that the upload link may have expired, been replaced by a newer link, or been copied incorrectly from the original email.
  • Applicants are directed to contact your portal's support email address, or the Portal Administrator if no support email is configured.
  • Convenient buttons allow applicants to navigate directly to My Submittals or your portal's Support page.

The page an applicant sees when opening an upload link that is no longer valid.

Report Title in Data Export Emails

Data export emails now include the report title in the subject line, so you can tell your exports apart in your inbox.

  • The subject also says when an export found no records or could not be completed.

Fewer Review Decision Confirmations

Clicking Decline Review or Approve Review no longer asks you to confirm when the next step is another page, such as a form attached to the workflow. You go straight to that page. The confirmation still appears when the decision runs the workflow's actions right away.

  • Approve Review also goes straight to the next page when the project has unpaid fees to deal with first.

Inspection Report Background Fix

Inspection report PDFs now print on a plan white background instead of gray.

Duplicate Workflow Fees Fix

Completing a review no longer adds the workflow's fees to the project again. Previously the same fees could be added each time a review cycle was completed, even when the review was declined.

  • A review fee is added once per review cycle, and any other workflow fee once per project.
  • When the fee is already on the project, its amount is updated instead of a second fee being added, unless staff have edited the fee or it has been paid.

WHAT YOU NEED TO DO

Fees that were added more than once before this release stay on the project. If you find a duplicate, waive the extra fee.

Permit Expiration Fees Fix

Actions set to run when a permit expires, such as adding a fee or sending a notice, now run once for each permit. Previously they could run many times for the same permit and add the same fee over and over.

  • The warning sent before a permit expires is also sent once.

Re-Inspection Inspector Assignment Fix

Re-inspection requests are no longer assigned to the previous inspector automatically when Partial Pass is turned off for your portal. The Re-assign Previous Inspector setting now applies only to re-inspections that follow a Partial Pass, and only while Partial Pass is enabled.

  • With Partial Pass turned off, inspectors can no longer choose Partial Pass as a result on an iPhone or iPad. An inspection already resulted as a Partial Pass keeps that result.
  • A request that follows a result other than Fail or Partial Pass is still linked to the earlier inspection, but does not take on its inspector.

Confirm Address with the Keyboard

In the address verification window on application forms, the Confirm button is selected as soon as the address is verified, so you can press Enter to confirm it without using the mouse.

Infrastructure Changes

These changes are to the platform behind the application rather than to the screens you use day to day. You should not notice a difference. If anything behaves unexpectedly after this release, please let our support team know so we can look into it right away.

Landing Page Design Components New styling building blocks for portal landing pages, such as alerts, banners, quick action buttons, cards and link lists, give landing pages a consistent look. Existing landing pages look the same until they are updated to use them.
