GeoCivix System Update Notice


Dear GeoCivix Administrators,


We’re excited to announce several system enhancements scheduled for release during this weekend’s deployment.


IMPORTANT: Be sure to review the second half of this email for a preview of two significant enhancements coming NEXT WEEK as part of the October 10 release.

Key Enhancements Deploying October 2nd


Outlook Calendar Event Now Removed on Inspection Cancel

Cancelling an inspection now reliably removes the matching appointment from the inspector's Outlook calendar. Previously the calendar event was only removed when the cancel came from certain screens, so in most cases (including cancellations from the inspections dashboard, offline sync, the public cancel link, and closing a permit or project) the appointment was left behind on the inspector's calendar.



Tiny Filename Dropdown in Plan Viewer

In the plan viewer, the drop-down for switching between documents was displaying in a tiny, hard-to-read font; it now appears at a normal, readable size.


Ability to Forward Previously Sent Email Option

Staff who can compose emails can now forward a previously sent email straight from the email detail screen, with the original subject, message, and saved attachments carried over automatically.


Forwarded emails start with empty recipient fields so you choose exactly who receives them, and any attachments that were never saved to the server are clearly flagged so you can re-attach them.


Plan Review Submittal Compliance

The document upload and application submittal screens now work better with screen readers and other assistive technology, improving accessibility for all users.


Tidied up the wording and layout of the document upload instructions so they read more clearly.


Missing Date on Inspection Confirmation

Inspection confirmation emails sent to requesters now always include the scheduled inspection date and details, even when a portal has customized the confirmation wording and left the date out.


Merge fields (like the requester name or inspection date) placed in inspection-type confirmation emails now save and display correctly; previously they could gradually break and stop filling in after repeated edits.


The inspection type setup page no longer displays errors when an inspection type has no linked follow-up inspection types.


Appointment Confirmation Link No Longer Errors

Opening an expired, reused, or directly-opened appointment confirmation link now shows a clear "Unable to confirm appointment" message with a link back home, instead of displaying an error page.


Paymentus Integration

Portals can now accept online card payments through the Paymentus provider as a payment option at checkout.


When the payment provider is temporarily unavailable, the system now shows a clear error instead of failing silently, so staff know to try again rather than assuming the payment went through.


Editor Text Color

Text typed into the rich-text editor now shows and prints in black by default, matching what admins see while editing, so checklists, custom documents, and other generated pages no longer appear in a faint or off color. Text you deliberately color using the editor's color picker is unaffected.


Point & Pay Integration

Portals can now accept online card payments through the Point & Pay provider as a payment option at checkout.


Fixed a problem that could cause new electronic-check (eCheck) payments to fail to save; these payments now go through correctly.

Enhanced System Security – Move Secrets to AWS

We have implemented additional security measures by moving sensitive system information to a more secure AWS environment. This update affects several areas of the GeoCivix system.


Although these changes have been thoroughly tested, certain client-specific configurations or custom processes may be affected. If you notice anything that is not working as expected following this deployment next weekend (October 10th), please notify GeoCivix Support right away so our team can investigate.


Two-Factor Authentication and New Login Experience

We will be introducing two-factor authentication (2FA), along with a redesigned login experience. The updated login window will be the most visible change and will affect everyone who signs in to GeoCivix.





Clients can customize the image, but they are responsible for providing the image and ensuring it is in an orientation that works on multiple screen sizes. The setting is in the site configuration




Clients/Implementation can change the background color behind their logo





The two-factor authentication for clients will be non-visible unless it is turned on in site configuration under the Two-Factor Authentication section.


    • Optional means users can set up 2FA themselves by logging in, going to My Account then the Security section
    • Required for Staff means internal users (not applicants) must use 2FA
    • Required for Everyone means anyone who uses their portal will have to set up 2FA


If left optional, they can choose what user groups have to set up 2FA, such as just Site Administrators


The trusted devices option is a client preference on whether users can choose to remember the browser. It will remember a 2FA for 30 days saving them a login step.


Two-factor can be done using an authenticator app (recommended to allow use across devices and multiple browsers) such as Google Authenticator or Microsoft Authenticator, a pass key (done via the OS and Browser), email or SMS. They may choose to set up multiple methods as backups. For example, they can set the Passkey as their primary but authenticator app as backup
